Where do all the vehicles come from?

Our excellent reputation and expertise in the industry allows us to work with some of the most respected companies in the country. A number of large and small fleet companies choose to sell their vehicles through Manheim. National and local authorities, manufacturers, rental companies, dealers and of course, members of the public all add to the diverse mix of quality vehicles available to you at Manheim.

Our role is to act as an agent for both the seller and the buyer, bringing them together and providing the very best service for both.

Auction catalogue

All Manheim Auctions Centres produce a catalogue on the day of the sale. This is your guide to what’s available that day in the sale. It will tell you what vehicles are to be sold and in what order.

You can also use our Fax-U-Back service the day before the sale to receive details of all the vehicles coming up for sale. This will help you prepare for your visit to Manheim Auctions. Details of the Fax-U-Back service can be found in Auction Centres

Looking around vehicles

On the day of the sale, once you have your catalogue, take it with you when you have a look around the vehicles. If you are unfamiliar with the auction centre, a member of staff can advise you where to find the sale day vehicles. Don’t miss this opportunity to look at the vehicles you are interested in and examine them thoroughly. Please satisfy yourself that the vehicle meets your requirements. Look out for the ‘Car Entry Form’ on the window of the vehicle, this will give you a brief overview of the vehicle description and will help you in making your selection. (See below for details)

It’s worth putting a few vehicles on your shortlist in case you miss out on the one you are after.

Now is the time you should decide how much you want to spend. Remember that in addition to the hammer price, you will have to pay a Buyer's Premium. This Buyer's Premium will be dependant on the price of the vehicle and your account status. As a rule, there is no VAT on used cars. However, in addition to the hammer price VAT is applicable on most commercial vehicles and plant. The auctioneer will announce when describing the vehicle whether it is subject to VAT.

If you are unsure, please ask if VAT is going to be an addition to the hammer price before you bid.

Entry Form

1. You’ll find a brief description of the vehicle make, model, derivative, fuel type, manual or automatic gearbox and colour.

2. This section covers the date of registration, year of manufacture if imported, total mileage, whether the mileage is warranted or not, MOT expiry date if applicable, date the vehicle is taxed (if a tax disc is sold with the vehicle), VIN number and if the vehicle has been on the total loss register or been recorded on a condition alert register.

3. Here it will tell you whether it is a margin or qualifying car. This briefly means if the vehicle is qualifying and you are VAT registered you can claim the VAT back off the hammer price of the car. If you are not VAT registered the margin or qualifying status does not affect you.

4. In this section you will find out if the vehicle is sold with an end sale trial. The section below here will be marked with the mechanical condition of the vehicle and/or any defects. You will have 1 hour after the sale to check any of these details and if a problem is found, you need to contact a member of staff at reception.

5. This section will give any additional information on the vehicle such as service history, if we have the V5 and any extras the car has like a CD player, Sat-Nav etc.

Please ensure you read the entry form and satisfy yourself that it is the vehicle you are looking for, before you bid on it.

The Auction

This is the exciting bit! Once you have examined the vehicle that has caught your eye, make your way to the appointed auction hall. When your chosen vehicle arrives, listen very carefully to the auctioneer. He will read out the details of the vehicle and start the bidding.

We recommend that if you are new to auctions you attend an earlier auction to get a feel and flavour of the process. Things can move pretty fast, so it’s worth getting up to speed and being comfortable before you try to bid.

Selling descriptions

When selling the vehicle, the auctioneer will use descriptions from the ENTRY FORM together with any additional information such as service history. These may include:

Odometer reading: Readings are only warranted as accurate if stated by the auctioneer at the time of sale. Listen carefully in case a speed odometer change is announced by the auctioneer who will then state the total mileage covered. If not warranted by the auctioneer assume mileages are not correct.

“Specified faults”: In this instance the auctioneer will read out any faults noted by the seller.

“Sold as seen”: Exactly as it says. Such vehicles are sold with no warranties by the seller - you are buying exactly what you see. All vehicles over five years old or with a purchase price of £1,000 and under are automatically ‘Sold as seen’. All heavy, light CVs, plant and equipment are ‘as seen’. All visible components, bodywork, tyres, exhaust and interior are ‘as seen’. So have a thorough look around before the sale as complaints will not be entertained after the sale.

4. Buying

When you are in the auction hall, stand where you can be seen by the auctioneer. Make your bid by clearly raising your arm. There is no tapping of caps or winks to the auctioneer here. Make it obvious!

If your bid is successful, you need to go straight to the rostrum where you will be asked for a deposit (see current details on deposits posted in the Auction Halls). You can leave your deposit by Cash, Maestro or Delta (arrange prior to bidding). You then need to sign your name, address and telephone number on the purchase slip. This slip also acts as a receipt for your deposit. At this point you may be asked for some form of identification to prove your address e.g. a driving licence or utility bill.

Provisional sales

The seller places a reserve price on the vehicle. The auctioneer is not allowed to sell below this reserve price. If your bid is the highest in the hall, but less than the reserve price, the auctioneer may provisionally sell the vehicle, subject to the seller accepting this bid. A Provisional Sales Clerk will negotiate between you and the seller to agree a price at which the sale can be finalised. This is known as a Private Treaty Sale.

As in a normal sale, a deposit is required which will be deducted from the final agreed selling price, or refunded if the sale is unsuccessful.

Payment

Make your way to the Cashier’s Office in the Reception Area where your invoice and vehicle documents will be made available for you. After the excitement of the auction, this is the business end of the operation where the balance must be paid. If you have bid for a CV, remember you will also have to pay VAT. Cars with delivery mileage only are subject to VAT in addition to the hammer price, every other car is exempt.

Congratulations, you are only a small step away from driving off in your new vehicle. Before you take the vehicle, we will require full payment of the invoice, the agreed vehicle price (either hammer price or Private Treaty Sale price), plus the Buyers’ Premium. Payments in cash can only be accepted up to £8,999 in accordance with the Money Laundering Regulations 2003.

V5C New Keeper Transfer Fee

Manheim Auctions, as agent for the seller, has an obligation to notify the DVLA of any change of ownership/keeper and to provide new name and address details when we sell a vehicle. Upon the completion of your purchase, we will need to complete the changes section of the V5C Registration Document before we can release the vehicle into your possession. Manheim Auctions will then forward the relevant part of the V5C Registration Document to the DVLA at Swansea on your behalf. A new V5C Registration Document will then be sent to you by the DVLA, bearing your own details. A fee of £25.00 incl. VAT will be charged for this service.  This fee applies to all non-account holders. The purchaser has a legal obligation to notify the DVLA of any change of ownership.  Manheim Auctions does this for you as part of the sale process using our efficient systems.

Balance must be paid by 5:00pm on the next working day following the sale.

Payment can be made in the following ways:

• Cash up to £8,999 in accordance with the Money Laundering Regulations 2003

• Bankers Draft

• Telegraphic Transfer

• Debit Card

• Credit Card

Please note, we charge a 3% handling fee on all Credit Card transactions + VAT and 1% + VAT on all cash transactions. All Debit and Credit Card transactions must be authorised through Chip & Pin. Please ensure you know your pin number before you come to pay. If you wish to pay by personal cheque or Building Society cheque, you will be required to leave the vehicle that you are purchasing until the cheque has cleared. Please be aware that any vehicles left on site are done so at your own risk and that cheques may take up to 7 days to clear.

If you have any questions about payment, you should contact the Cashiers Office at the Auction Centre before you bid for any vehicle.

Please note: we do not arrange hire purchase/finance agreements. You will need to make your own arrangements with a finance company or bank before attending the auction. The finance agreement cheque or letter of commitment must be shown to the cashier prior to any bidding.

If you are going to make a number of purchases from Manheim we have a number of exclusive services available to you.

Buyers’ Premium & Financial Guarantee

Buyers’ Premiums are required to be paid by all purchasers. Private buyers may purchase either the Manheim Standard Indemnity or a Financial Guarantee.

These include:

• Police checks

• Insurance checks (if on total loss register)

• Outstanding finance checks

• Register of Interest

Full details of the Buyers Premium are included in the Terms and Conditions of Business displayed in the auction.

Financial Guarantee

Financial Guarantee is only available to private buyers who produce a form of I.D and address (Driving Licence, Passport, utility bill). With proof of this you may be eligible to buy the financial guarantee, and benefit from up to 30% off the Private Buyers Premium Rate. 

Financial Guarantees are provided by an independent third party, Universal International Reinsurance Company (UIRC) Ltd, and indemnify the purchaser in accordance with UIRC Terms & Conditions, which are available at all branches of Manheim Auctions. This incorporates the background checks carried out in the Buyers Premium. For additional information please ask for a copy of the Financial Guarantee Terms and Conditions at the cash office or reception.

Please note: there is no return on any vehicle sold for £1,000 and under.

Once the gavel falls in the auction hall, the vehicle legally becomes your property and responsibility. However, a leasing company or finance company may still hold an interest in the vehicle. This interest would be registered on the HPI or Experian registers and will be removed once the leasing or finance company have received cleared funds from you via Manheim Auctions.

5. Taking the vehicle away

Once you have paid in full and all funds have cleared, the cashier will hand you:

A Receipt of Invoice:

The Vehicle Registration Document (V5), any MOT Test certificate (if applicable) and other certificates and documents.

A Pass Out:

A note detailing whether any detachable items such as radios and where to collect them. The Pass Out should be taken to the Key Office, where you will be given the keys to the vehicle. The Pass Out is also your authority to leave the auction premises with the vehicle. So whatever you do, keep it safe!

MOT Certificates and Road Fund Licence:

If the vehicle does not hold a valid MOT certificate and Road Fund Licence, you will need to make arrangements for transporting the vehicle from the auction centre. However, at Manheim Auction Centres we can arrange to transport your vehicle for you at a nominal cost.

Legislation

We remind you that it is your responsibility to ensure that any vehicle purchased at auction complies with the Road Traffic acts before it is used on the road.

Other Important Facts you need to know

Insurance Checks:

If the vehicle has had extensive repairs which are registered on Experian, this will be declared in the windscreen description as “VCAR” (Vehicle Condition, Alert Register). We advise you to buy these cars with great care.

V5 document - the log book:

Unless stated to the contrary on the windscreen description, assume that the vehicle is sold without a V5. Having no V5 does not affect your right to title of the vehicle. A new V5 can be obtained by filling out form number V62 available from most post offices. The DVLA recognise Manheim Auctions receipts as proof of purchase. However under new legalisation, (applicable since February 2003), you will not be able to tax the vehicle without a V5.

Parallel and Grey Imports:

It is the responsibility of the buyer to make themselves aware of the possibility that a vehicle may be imported outside the manufacturer’s normal distribution channels. Manheim Auctions will not declare imports on the windscreen copy or during the auctioneer’s description.

Tax:

If the vehicle for sale has a valid excise licence, then it may be sold with the vehicle and becomes your property. If it has not, then you are obliged by law to ensure that the vehicle is taxed before using it on the public highway.

Insurance:

From the fall of the hammer the vehicle is yours. You are responsible for it and any damage caused to it, fire, theft etc. Therefore you need to make sure the vehicle is insured as soon as possible after the sale.

Registration Date:

“Date First Registered in the United Kingdom”, relates to the date on the Registration document and not necessarily the date of manufacture or date of first use.

VAT:

The VAT rules for purchasing used vehicles are as follows: VAT is not generally added to the hammer price of a used vehicle at auction. With some “Qualifying cars”, VAT may be shown as a separate element from the overall hammer price. This is to aid a VAT registered buyer, purchasing for a qualifying purpose to recover the VAT. In all other cases (“Margin Cars”) the VAT is not shown and cannot be recovered. “Qualifying cars” include those bought and then sold by:

• Leasing and contract hire companies - for onward lease/ rental.

• Daily rental companies - for onward rental.

• Taxi firms/driving schools - for business use only.

• Fleet operators - for cars that have no private use, such as pool cars. Cars with delivery mileage only are subject to VAT in addition to the hammer price, every other car is exempt.

For used Vans, Trucks, Plant and Equipment, VAT is charged ON TOP of the auction selling price, unless stated to the contrary on the red windscreen description placed on the vehicle or item of plant/equipment.

6. Complaints procedure

We do everything we can to ensure that every part of your Manheim Auctions experience is second to none. However, in the unlikely event that you find a defect with your vehicle, here’s what to do:

If the vehicle is subject to an end of sale trial you have one hour after the auction sale ending to report any faults, not otherwise disclaimed at the time of sale. Faults must be reported to the branch engineer.

N.B. If you have purchased a vehicle that has been described as “sold as seen”, then no complaints can be entertained under any circumstances, other than those covered by the buyers’ premium/financial guarantee.

7. Payment methods

8. Auction centre rules

No lectures here. Just a few of the rules we ask you to follow when you’re at the auction.

• Children under the age of 14 are not allowed at the auction unless supervised at all times by an adult.

• You must be 17 years of age or older to purchase a vehicle. Proof of age may be required.

• Please do not walk between moving or marshalled vehicles.

•  Unauthorised persons cannot start up or drive any vehicles entered into the auction.
